The Company

Where this notice refers to “the company” it means Words First Limited, and the staff employed by Words First Limited. Words First Limited is a multi-disciplinary team of highly skilled professionals supporting children with SEN and the staff supporting those professionals.

Data Controller
A data controller makes decisions about what data to process. In this case, Words First Limited is the data controller of the data we collect about you.

We may process your name at a later stage based on contractual performance to deliver your purchases to you. Special Category Data

The law defines certain kinds of data as special category data, and there are specific laws and rules which govern how we process special category data. These special categories of data include, race, religion, beliefs, trade union membership, genetic data, biometric data, and data about your health, sex life and sexual orientation.

We do not process or store any special category data via our website.

How we share your data

How long we keep your data

In terms of the Data Privacy Principles, we are only allowed to keep your data for as long as is legally necessary. For website records, we may need to keep some data for longer periods if we are legally required to do so. For example, it is current best practice to keep financial records for a minimum period of 3 years to support HMRC audits.

This means that we will delete your data, or archive it for statistical, historical, or analytical purposes when the data is no longer needed.

Your Personal Data Rights

Your Right to Access
At any point you can contact us to request the information we hold on you as well as why we have that information, who has access to the information and from where we obtained the information.

Your Right to Rectification
You have the right to request that incorrect data is corrected.

Your Right to Erasure
You can request that the data we hold about you is erased. The right of erasure is not absolute and will depend on the data and why it is being stored. Tax records, for example, are legally required to be stored for a certain period of time. Your request will be dealt with in writing and explanations of what data has been erased and what data has been retained will be provided to you.

Your Right to Withdraw Consent or Object to Processing
Where you provided information through consent, you have the right at any time to withdraw your consent to processing. Where data has been processed based on legal grounds other than consent you have the right to object to that processing.

How to Exercise your Rights
To exercise your rights, you can contact our DPO to begin a subject rights request. Rights requests can be made orally or in writing. Our DPO will always respond to a rights request in writing, without undue delay and within one month of receiving any subject rights request.

There are no fees or charges for a request but if the request is found to be manifestly unfounded or excessive then we may discuss a fee for additional or further information requests.

In order to prevent unauthorized access or sharing of your information, we have implemented suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

We have a comprehensive privacy policy framework at Words First Limited and we strive to ensure that we meet the requirements of the Data Protection Act of 2018 as well as the regulations in terms of the UK GDPR.
